Confirm the CBP importer number and responsible importer before shipping. [1]
Have the broker check the exact HTS classification, origin and current additional duties. Do not assume a general duty rate means zero total import cost. [2]

Itemize the delivered and installed cost

Panels, floor and doors	Specify internal or external dimensions, insulation, floor load, door openings and display glass doors.
Refrigeration and controls	Specify stored product, entry temperature, daily load, target temperature, ambient conditions and operating hours. Room volume alone does not size the equipment.
Freight and destination delivery	Request packing dimensions, gross weight, route, insurance, named Incoterm point, terminal charges, inland delivery and unloading responsibilities.
Import costs	Ask the importer or broker for a written classification, origin assessment, customs value and itemized duties, taxes, fees and applicable permits.
Installation and commissioning	Obtain a local site quote for civil work, electrical supply, piping, refrigerant charge, drainage, lifting, leak testing and start-up.
Operating and service costs	Compare electricity assumptions, defrost, spare parts and local service availability. No nationwide installation or energy tariff is assumed.

Confirm the engineering interfaces

Confirm the actual site voltage, frequency and phases; do not order from a country-level voltage assumption. Provide an electrical drawing, equipment nameplates, refrigerant designation and charge, safety data and installation manual. Agree who checks local electrical, fire, structural and food-use requirements before production. A foreign certificate or CE mark alone does not settle local acceptance.

Documents and handover

Approve a versioned drawing and equipment list before production. Align the commercial invoice, packing list and transport document with the shipment; prepare origin and conformity documents where applicable. Record who handles clearance, unloading, installation, tests and acceptance. The schedule starts from confirmed drawings, site readiness and a booked route; no fixed national transit time is promised.
